NKSC Board Positions


President

  • Preside over all Club and Board meetings.
  • Appoint Chairpersons for committees as designated by Club Bylaws and Rules and Regulations.
  • Appoint from the Club membership a person or persons to fill the vacancy of any officer who, for any reason does not fulfill his/her term of office.
  • Sign orders on the Treasury.
  • Annually, collect individual board member reports and create and submit collective club report to NSYSA in December of each year.
  • Serves as a member of the Bylaws Revision Committee and the Viking Cup Tournament Committee.
  • Organize and make all arrangements for the Annual Board Retreat to be held in January or February of each year for Club planning and goal setting for the upcoming year.
  • President will organize and chair all coaches meetings, including, spring, fall and select; ensuring all board members prepare and deliver information to all perspective coaches.

Vice President of Development

  • Employs strategies and programs to help with the development of players, coaches and referees.
  • Coordinates training for players, coaches and referees during each season and develop tracking systems to update coaching levels and referee levels.
  • Establish and administer a Player Development Program for Board approval in March for the following season
  • Recommend to the Board player camps at all levels and advertise to the club.
  • With the Full Field and Select Program Coordinators, organizes and schedules a Select Program information meeting for current U-10 players, parents, and coaches; annually each November.
  • Annually review fall season development program.  Make recommendations to the board for changes.  Create and use a participant survey as needed.
  • Annually organize and schedule for early September, a coaching developmental/motivational session
  • In November, annually provide board member report to the President
  • Consider the appointment of assistants as required. Suggestions include:  Referee Development Rep, Player Development, and Coaches Development Reps

Vice President of Program Coordination and Fields

  • Acquire fields and be the liaison between the Club and North Kitsap School District.  Ensure that fields are reserved through NKSD for Spring League, Fall League, The Viking Cup Tournament, Cassandra Mackie Jamboree (as needed), and post season championship play.
  • Ensure that fields, goals, nets, paint, and liners are available for NKSC teams for practices, games, and sponsored tournaments.
  • Ensure that gym time is obtained through NKSD for Winter Indoor soccer practice, (if available).
  • Maintain schedules for team games and practice times and locations.
  • Coordinate work parties for requested maintenance of fields and/or equipment, i.e. fill holes with topsoil, sod replacement, repaint goals, hang nets, etc.
  • Ensure that goals are repaired and re-welded as needed and kept in safe condition.
  • Order field paint, goals, nets, and liners as needed within budget.
  • Recruit field marshals for season layout and field painting as needed for league games.
  • Request assistance from Club members and parents to perform above responsibilities. Teach others and recruit help throughout the Club in order to diversify successfully. Work with Volunteer Coordinator to assign volunteer help to required tasks.
  • Plan ahead all club activities and needs. In a timely manner, submit NKSD facility use forms, order equipment and supplies for all uses, recruit field coordinators, and ensure Sani-cans are ordered and maintained during required activities.
  • In November, annually provide board member report to the President
  • Consider the appointment of assistants as required. Suggestions include:  Spring,  Small-sided, Full Field and Select Field Reps, Field Scheduler.

Vice President of Awards and Recognition

  • Arrange for and schedule team pictures for the fall season.  Distribute pictures using a Volunteer Coordinator provided volunteer
  • Oversee and organize along with designated volunteers for the Annual Coaches Appreciation Dinner. Subtasks include:
    - Propose date and acquire facility.
    - Schedule guest speaker for the event.
    - With assistance from designated volunteers, determine menu
     and assign duties of preparation, setup&decorations, serving, and cleanup.
    - Provide Secretary with pertinent information for Club invitation to all Coaches.
    - Define program for dinner and select a master of ceremony as host.
  • Acquire nominations and make recommendations to the Board regarding the Susan Decker Memorial Award.
  • Acquire nominations and make recommendations to the Board regarding the Coaches of the Year and Administrator of the Year, and Young Referee of the Year.
  • Oversee and coordinate with VP of Competition and designated volunteers the Annual Team and Player Awards Ceremony. Subtasks include:
    - Propose date and acquire facility.
    - Order any awards or certificates to be given during ceremony.
    - League placement
    - People of the Year Recognition
    - Referee recognition
    - Scholarship recipients
    - With assistance from designated volunteers, determine menu and assign duties of preparation, setup and decorations, serving, and cleanup.
    - Provide Secretary with pertinent information for Club invitations to all teams,
    players, referees and People of the Year.
    - Define program for event and select a master of ceremony as host.
  • Coordinate with the Registrar for team lists and player numbers to order and distribute Club pins. (Volunteer Coordinator- part of “ opening day event”)
  • In November, annually provide board member report to the President.
  • Consider the appointment of assistants as required. Suggestions Include: Annual Coaches Appreciation Dinner assistant, Annual Team and Player Award assistants.

Estimated Time Per Week 1 to 2 hours. Varies by season. Fall activities are greater especially for coaches appreciation dinner and awards ceremony. Other seasons require far less time and attention.


Treasurer

  • Receive and issue receipts for all monies of the Club.
  • Keep an accurate written record of all financial transactions, according to the Club Bylaws, Rules and Regulations, and Board of Directors, and present a monthly report.
  • Co-sign all orders on the Treasury.
  • Maintain bonding insurance as required on financial co-signers.
  • Review board member budget status, adjust and provide at the October Club meeting a proposed budget for the next year.
  • Prepare and maintain yearly state and federal forms, which establish the Club as being a non-profit youth organization.
  • Provide books and financial records for annual audit to committee assigned by President.
  • In November, annually provide board member report to the President
  • Consider the appointment of assistants as required.

Small-Sided Recreation Program Coordinator

  • Provide liaison and communication between the Board and Small Sided teams
  • Assist Registrar in small-sided team formations.
  • Assist VP of Competition as needed for small sided game scheduling.
  • Coordinate use of small-sided rec fields with VP of Coordination – Fields, including goal/net repair, layout and painting of fields.
  • Recruit Small Sided Recreational Program coaches with the assistance of the Volunteer Coordinator
  • Provide recommendations regarding small-sided player clinics and coach development needs to the VP of Development.
  • Recruit referees and coordinate and schedule small-sided referee clinics.
  • Assign referees for all small-sided games. Or use District 4 on-line self-assignment process.
  • Track and verify referee accounts for payment at season’s end, using District 4 report as needed.
  • Organize end of year pizza party for small-sided referees for disbursement of payment.
  • Organize and execute spring and fall coaches meetings’ along with Full Field Recreation Program Coordinator, ensuring small-sided information is delivered to all perspective coaches.
  • In November, annually provide board member report to club President
  • Consider the appointment of assistants as required. Suggestions include: Assistant Registrar, Coaching Coordinator, Field Reps, Referee Coordinator

Volunteer Coordinator

  • Recruit and coordinate on-line volunteer list with appropriate board member and function (i.e., fields, awards, Viking Cup, etc.)
  • Regularly review volunteer queries and comments from the Registration databases and contact interested volunteers.
  • Receives volunteer needs from the Board and assists in finding volunteers to fill various positions as required.
  • Assists Small Sided Recreation Program Coordinator and Full Field Recreation Program Coordinator with the recruiting of coaches.
  • Recruit Food Drive Coordinator
  • Recruit Used Soccer Gear Coordinator
  • Coordinates with the Vice President of Publicity and Fundraising and the Vice President of Recognition and Appreciation to conduct the “Opening Day Events” to start the fall season.
  • In November, annually provide board member report to the President
  • Consider the appointment of assistants as required. Suggestions include:  Assistants as required.

Vice President Program Coordination – Tournaments

  • Act as the Chair of the Committee that operates the Annual Viking Cup Tournament (May assign a Chair for the Committee upon approval of the board of directors).
  • Appoint Committee members in cooperation with the Board no later than December of the prior year.
  • Work with and coordinate tournament activities with committee members and board members.
  • File the Tournament Application no later than December of the prior year.
  • Work with Volunteer Coordinator to appoint a Viking Cup Tournament Sponsorship coordinator in November of each year.
  • Work with Vice President of Publicity and Fundraising to determine fundraising goals for the Viking Cup tournament.
  • Work with Vice President of Publicity and Fundraising to determine publicity and advertising goals for the Viking Cup tournament.
  • Work with the board to determine dispersements of net income from the tournament
  • Write and deliver the annual Viking Cup Report to the state.
  • Maintain tournament standings and report them to the appropriate state officials.
  • Post and maintain tournament standings on the NKSC web site.
  • Maintain and publish tournament operating procedures according to specifications provided by the NKSC Board .
  • Provide monthly status updates to the board.
  • Ensure that committee meeting minutes are recorded and properly posted according to NKSC operating procedures.
  • Determine annual budgetary requirements for the Viking Cup Tournament.
  • In November, annually provide board member report to the President.
  • Coordinate and Promote other NKSC tournaments or jamborees according to the direction of the board.
  • Consider the appointment of assistants as required.  Suggestions include: Tournament Registrar, Tournament Fields Coordinator, Tournament Field Marshal Coordinator, Sponsorships, Scorekeeper, and Publicity or others as deemed necessary.

Estimated Time: 1 to 2 hours per week except during January through May. Then it is 1 to 10 hours per week until a few weeks after Viking Cup. July typically requires minimal time except for a start-up meeting for the following year and attending the monthly club meeting.


Vice President of Publicity and Fundraising

  • Assume the office of President if the office is vacated.
  • Coordinate joint efforts between the Club and the other clubs affiliated with NSYSA and District IV.
  • Represent the club at all scheduled NSYSA meetings.
  • Serve as a member of the Bylaws Revision Committee.
  • Organize and coordinate fall recreation season fundraiser.
  • Procure and assign sponsors for all Club teams in coordination with the Club Treasurer.
  • Distribute season recognition plaques to all sponsors.
  • Review duties with each newly elected Board Member.
  • Publicize all club activities thru local venues, i.e. Herald, Sun, etc.
  • Is manager of website as creator or liaison with volunteer website manager ensuring all club status and information is updated regularly
  • In November, annually provide board member report to the President
  • In December, order new coats for incoming board members.
  • Consider the appointment of assistants as required.

Vice President of Competition

  • Attend Annual NSYSA and District IV scheduling meetings and perform the preparation of match schedules as required with the Club Registrar.
  • Assist Small Sided Recreational Program Coordinator with recruiting, scheduling and  Provide all materials received from NSYSA and District 4 to coaches at season coaches meetings.
  • Coordinate the assignment of referees after the notification of the District IV Scheduler for all matches that will not be covered by KPRSA, Kitsap Peninsula Referee Soccer Association.
  • Review on-line scorekeeping and standings for all NK teams, ensuring prompt submittal of game results.
  • Assist Small Sided Recreation Program Coordinator with the recruiting, coordination and scheduling of referees.
  • Communicate any referee’s reports on ejections to NSYSA and District IV and Club President.
  • Receive final league standings and make available to VP of Awards for purchase of recognition awards.
  • Assist Full Field, Small Sided and Select Program Coordinators as needed.
  • Administrate the collection and keep Club record of coaches, volunteers, officers who have filled out "Risk Management" forms prior to mailing to the NSYSA Risk Management Coordinator.
  • Oversee and solicit help in the disbursement and tracking of Risk Management forms.
  • In November, annually provide board member report to the President
  • Consider the appointment of assistants as required. Suggestions include: Risk Management Coordinator, Disciplinary Committee Representative and Referee Coordinator.

Estimated Time Per Week to be provided.


Vice President of Equipment

  • Keep an accurate record and inventory of all Club equipment and distribute/collect for all club programs.
  • Maintain all team and player Club equipment, i.e. ball bags, flags, first aid kits, etc.
  • Order new jerseys for upcoming fall season based on predicted turnout.  Additionally, review “extra” allowance inventory and order as needed. 
  • Distribute jerseys as required.
  • With the VP of Fields, oversee maintenance of Club storage center.
  • Make a recommendation to the Board regarding uniform purchase needs by April of each year.
  • In November, annually provide board member report to the President
  • Consider the appointment of assistants as required.

Recreational Program Registrar

  • Responsible for the on-line registration program and handle registration of Recreational teams and players through NSYSA. 
  • Serve as club liaison with the on-line registration vendor. Conducts feedback registration meetings after each season and updates on-line program with inputs from Select and Recreational committees.
  • Sets regular and late dates for Fall and Spring registration seasons.
  • Sets team formation dates. Builds Recreational teams with assistance from Small-Sided and Full-Field Coordinators.
  • Identifies list of previous coaches and coach vacancies to assist Small-Sided and Full Field Coordinators build coaching database.
    Maintains record of all Recreational players and verifies during team formation.
  • Prepare Club Team information spreadsheets and provide them to NSYSA registrar. Assist VP of Competition with placement of teams and match schedules for NSYSA and District IV scheduling meetings. Coordinate teams and team rosters for tournament play with VP of Competition.
  • Communicate with coaches during playing seasons with regards to roster updates and player injuries. Maintain list of player injuries and coordinate player reassignment with NSYSA Registrar.
  • Appoint assistants as required in addition to the following; RMA Coordinator, Small-Sided Assistant Full-Field Assistant
  • Assist VP of Publicity and Fundraising with newsletter information regarding Fall and Spring season registration dates, articles for local schools and newspaper and computer locations.
  • Assist Secretary with phone calls to club phone dealing with registration issues.
  • Assist President in preparation of Coaches meetings.
  • Have team rosters and medical releases for all teams.
  • Have all information from NSYSA and District IV available.
  • Maintain communications with NSYSA registrar and ensure that final registration, RMA, and tournament information is updated.
  • In November, annually provide board member report to the President.

Secretary

  • Keep an accurate and official record of all meetings and distribute to the Board prior to the next Club meeting.
  • Be responsible for all correspondence of the Club.
  • Arrange for meeting place for all Club Business meetings and give notice of all meetings as stipulated in the Club Bylaws.
  • Remind Board members of all scheduled meetings.
  • Send out e-mail to all coaches for Coach Training and Information meetings and team representatives for Club business meetings prior to September, October, and November meetings.
  • Each August the Secretary will apply for new Certificates of Insurance through the NSYSA Secretary. Each September, the Secretary shall receive from WSYSA via the NSYSA Secretary, a copy of the WSYSA insurance policy; and distribute copies to the North Kitsap School District, the President and the VP of Fields.
  • Coordinate with North Kitsap High School Counseling Office for the requirements, dates of application to Club for the John Smith Memorial Scholarship and the Joyce Sheflo Memorial Scholarship of $400 each to two boys and the Les Kiehle Memorial Scholarship and the Mary Ann Davis Memorial Scholarship of $400 each to two girls from the graduating senior class.  After receiving the student applications, meet with the Board to select the recipients and notify NKHS of the Club's decision and be responsible for contacting the Treasurer for disbursement of the scholarship funds. Above description is a guideline, more or less scholarships may be granted with board approval. The number of boys and girls scholarships may be adjusted annually depending on nominations.
  • Create and distribute (on the clubs website and intranets,) a Club Calendar to the Board, Coaches, and Volunteers. The Secretary shall work closely with the VP of Publicity and Fundraising to actively advertise club activities and schedules.
  • Calendar is to include the following:
    - Beginning Coaches meetings and Coaches Training and Information meetings for the months of September, October and November.
    - All scheduled Club meetings
    - All NSYSA meetings.
    - Coaches Training Dates.
    - Coaches Appreciation Dinner
    - Annual Awards Ceremony
    - Deadlines for proposals to be submitted for Club approval.
    - Picture Days
    - Susan Decker Award nominations due to VP of Recognition.
    - Nominations for People of the Year due to VP of Recognition.
    - Uniforms and equipment disbursement and return dates.
  • In November, annually provide board member report to the President.

Other Responsibilities: The Secretary shall train committee secretaries and oversee their activities
Estimated Time: 1 to 3 hours per week. Varies by season and time of month. the secretary needs to spend more time working on soccer a week to ten days prior to the monthly club meeting and a week to ten days after the monthly club meeting. Club meetings are currently the third Monday of each month


Select Program Coordinator

  • Provide liaison and communication between the Board and Select teams
  • Coordinate team tryouts with the VP of Development, VP of Coordination – Fields and Small Sided Coordinator (for last falls U-10 age group).
  • Coordinate tryout equipment check out and check in with VP of Coordination – Equipment and VP of Fields (use permit).
  • Provide liaison with District IV Director of Competition in registering the select teams for Washington State Youth League (WSYL), Washington State Youth Developmental League (WSYDL), District 4-7 Competitive League, or District 3 League with District IV approval, as required. 
  • Coordinate coaches meetings with President.
  • Plan, organize and hold an informational open house prior to each year’s tryout selection.
  • Make recommendations to the Board concerning coach selection, player selection process, player and coach development plans and overall program development. Use of a player, parent, and coach survey may be used at the discretion of the board.
  • Handle all Select Team Financial Accounts under the direction and guidance of the Club Treasurer.
  • Organize and conduct interview panel for all prospective select coaches.  Make recommendations to the board for approval.
  • Assist Volunteer Coordinator to recruit committee members and organizers for Viking Cup.
  • Register all Select Team players using the on-line registration program.
  • In November, annually provide board member report to club President.
  • Coordinate VP of Publicity and Fundraising or the appointed volunteer manager to maintain the Select Program portion on the club website to ensure that the most current information is published with requirements, deadlines and results of select team activities.
  • Consider the appointment of assistants as required. Suggestions include: Assistant Select Registrar, Select Fields Coordinator, Select Team Fields Representatives, Select Development

Full Field Program Coordinator

  • Provide liaison and communication between the Board and Small Sided teams
  • Assist Registrar in full field team formations.
  • Assist VP of Competition as needed for full field game scheduling.
